What is our responsibility in relation to GDPR?

Any information about an individual, for example Re-engage volunteers, older people, supporters, and staff, can only be used for the specific purpose that the information was collected for.  

That could mean, we may use your information to: 

  • process a donation you have made 
  • carry out our obligations arising from any contracts such as applications to volunteer, become a referrer, or join as a guest 
  • seek your views or comments on the services we provide 
  • notify you of changes to our services 
  • send you communications to help you in your volunteering role, as well as additional communications which you have requested. These may include, for example, our regular newsletter or communications related to a job application.

Re-engage must inform individuals about data we hold and what we do with it.

We must respond to any concerns and requests within our network about the data we hold on an individual. Data should only be kept for as long as it is being used or for as long as prescribed by law or regulation and needs to be kept secure at all times.

What does compliance with GDPR mean for Re-engage volunteers?

In order to answer this question, it’s important to understand what personal data is. Personal data is any information from which a person can be identified such as their name, address, date of birth, or photographs. 

Meanwhile, special category data includes sensitive things like information about a person’s health or medical details, racial or ethnic origin and sexual orientation. Some of this information may not make the person identifiable but is still highly confidential.  

We may share someone’s personal data in a number of ways, such as when we complete reports or pass on email addresses or photographs. We may also share personal data in a conversation or over the phone, in a text message or on social media. 

As a volunteer at Re-engage you are acting on behalf of Re-engage and have a responsibility to ensure that the information that you collect on older people and volunteers is handled in accordance with the charity’s aims. 

Volunteers and older people are informed about the information we hold about them. Volunteers also have access to the Re-engage volunteer resources and handbook, privacy notice, and our Data Protection policy on our website.
